**MUST COMPLETE APPLICATION ON OUR WEBSITE**Position: Specialist I/Accounting and Human ResourcesSummary of Position: Responsible for day-to-day accounting and cash handling functions following established procedures and generally accepted accounting principles as well as assisting with recruitment and onboarding in support of the Union?s mission.Department: Human Resources/Business ServicesStatus: Full-time, non-exemptWork Schedule: Monday through Friday ? 8 a.m. to 5 p.m. with an hour lunch?Starting Wage: $32,760 annually?Date Position Closes: 11/19/2021 at 5 p.m.?Application Requirements: Employment application with three professional references, find our application on our website.Responsibilities:?Accounts payable-specific30%: Process accounts payable (A/P). Ensure accurate vendor information and supporting documentation is maintained. Enter information into Union accounting software, referencing University agency payment voucher (APV) invoice codes. Reconcile APVs and A/P checks. Process corporate credit cards for payment, verifying supporting documentation is provided by card-holders. Maintain accurate files and records. Generate A/P monthly reports. File documentation.Accounts receivable-specific25%: Process accounts receivable (A/R): Prepare, verify, and process invoices for sales and services rendered. Reconcile accounts. Research, resolve and report account discrepancies and adjust accounts as directed. Secure current account information for departmental charging privileges and ensure appropriate approval. Communicate with customers regarding account status. Obtain tax form information from customers as necessary. Maintain accurate files and records. Verify delinquent accounts and solicit payments of overdue accounts. Generate A/R monthly reports. File documentation.?Cash handling-specific20%: Cash handling: Process and record revenue for deposit. Issue receipts for funds received. Process and prepare retail cash bags. Serve as custodian of cash fund to include counting, verifying, and recording balances. Investigate and report all cash fund discrepancies. Generate, review, and distribute scheduled reports. Maintain petty cash fund operations and ensure documentation and authorization is secured prior to disbursement.?Recruitment and onboarding-specific15%: Assist in the recruitment and onboarding process for student and part-time employees to include: submitting accurate and timely job postings, coordinating and conducting new-hire meetings, processing mandated federal and state employment authorization documentation, process personnel transactions and submit to university?s Human Capital Services for payroll purposes, and conducting new-employee orientations following established procedures. Aid in human resources-related document management and administrative tasks as assigned.Departmental functions10%: Distribute incoming mail. Purchase authorized business-related supplies. Assist with audit preparations. Oversee Union?s lost and found service. Place and/or investigate student account suspensions. Attend trainings, events, and departmental meetings as required. Serve on both internal and external committees. Perform other duties as assigned and instructed.?Qualifications:?Education - Minimum? High school diploma (or equivalent) and six or more years of demonstrated experience; or??? Associate?s degree from an accredited institution and two or more years of demonstrated experience; or? Bachelor?s degree from an accredited institution and six months or more of demonstrated experience.Education ? Preferred? Bachelor?s degree from an accredited institution and six months or more of demonstrated experience.??Experience ? Minimum Demonstrated? Bookkeeping/accounting experience;? Generally accepted accounting principles (GAAP);? Computer applications and accounting systems experience;? Customer service experience;?? High degree of accuracy, attention to detail, and organizational skills;? Accurate data entry skills.??Experience ? Preferred Demonstrated? Two or more years of demonstrated experience in QuickBooks accounting software.?? Two or more years of demonstrated experience with Microsoft Office programs.?? Experience verifying and processing work authorization documentation (I-9).?? Generalized new-employee onboarding experience.?? Non-profit accounting experience.?? Experience in a university and/or student union environment.?Skills and Abilities?Work in a general office environment. Remain seated/stand 75% of shift. Finger dexterity/movement for typing, picking up small objects and utilizing varying office equipment. Hearing for average or normal conversations and to receive information. Sight to view computer, documents, and general office machinery. Verbal and written communication to present, convey and exchange information and ideas accurately and quickly. Move, transport and position equipment weighing up to 10 pounds. There are no hazardous or significantly unpleasant physical conditions.
